What Does a Trade Fair Cost? Budget Breakdown With Real Figures
Where an exhibition budget goes, what floor space costs at a fair like InnoTrans, and a worked example for a 50 m² stand — with sources.
Updated 30 September 2026
Ask ten exhibitors what a trade fair costs and you will get ten answers, because most only know the invoice for the floor space. That invoice is a fraction of the total. This article shows where an exhibition budget actually goes, what space costs at a large international fair, and how to estimate a full budget from it — using published figures, each with its source.
Where the money goes
EXHIBITOR Magazine regularly surveys event marketers on how they split their exhibition budget. In its most recent breakdown (nearly 200 respondents), the booth space itself was the largest single item at 23 %, followed by show services such as electricity, internet and cleaning at 18 %.
Two things stand out. Show services — the small items ordered from the organiser — are nearly as large as the space. And measurement, the part that tells you whether the fair paid off, gets 2 %.

What floor space costs: InnoTrans 2026 as an example
InnoTrans in Berlin is one of the largest capital-goods fairs in Europe: in 2024 it had 2,946 exhibitors from 59 countries and 169,214 visitors from 128 countries in 42 halls. Its published 2026 space prices are a good reference for a large international fair.
| Stand type | Price |
|---|---|
| Row stand (one side open) | €320 per m² |
| Corner stand | €345 per m² |
| Peninsula stand | €365 per m² |
| Block stand | €375 per m² |
| Outdoor area | €235 per m² |
| Track / bus display | €35 per metre |
| AUMA fee | €0.60 per m² |
| Media package (mandatory) | €1,250 |
Worked example: a 50 m² row stand
Take a modest 50 m² row stand at those prices. The space-related costs are straightforward:
| Item | Calculation | Amount |
|---|---|---|
| Floor space | 50 m² × €320 | €16,000 |
| AUMA fee | 50 m² × €0.60 | €30 |
| Media package | flat | €1,250 |
| Space-related total | €17,280 |
From space to total budget
Now the total. If floor space is 23 % of the budget, as in the EXHIBITOR survey, €16,000 of space implies a total of roughly €70,000. A widely used rule of thumb in the exhibit industry puts the total at about three times the space cost, which gives about €50,000.
So a realistic planning range for this stand is €50,000 to €70,000 — before a single colleague’s time is counted. These are estimates for planning, not quotes: stand construction in particular varies enormously.
Budgets are going up, not down
For German exhibitors, fairs are the largest item in the marketing budget: AUMA reported their share rising from 38 % to 45 % of the total marketing budget. In AUMA’s 2026/2027 survey of 404 exhibiting companies, more than 40 % planned a higher fair budget, and 26 % expected increases of more than ten percent — while planning slightly fewer fairs. Fewer fairs, more money per fair: which makes every fair worth planning properly.
Where you can save without showing it
- Meet the organiser’s early price deadlines — later bookings cost more.
- Reuse the stand construction across fairs where the design allows.
- Book hotels early and share them across the team.
- Staff to the plan, not to be safe: a rota built around the meetings needs fewer people standing around.
- Order show services (power, internet, cleaning) before the early-order deadline.
